How Exavalu helped an American Humanitarian Org with smooth Salesforce Migration and Maximization

One of America’s largest non-profit humanitarian organizations, well known for its global network of volunteers, donors, and employees, was facing some issues while transitioning its legacy internal systems to Salesforce. Their existing legacy system had 16 separate instances without a centralized database, which prevented them from consolidating operational data. What went even more challenging was the absolute lack of visibility into key KPIs that impacted resource optimization across employees, volunteers, and logistics, insight generation, real-time decision-making, transparency in scheduling, PTO, and communication. Their systems such as SharePoint, Excel spreadsheets, hardcopy reports were disconnected and could not deliver a single source of truth, leading to inefficiencies in planning and execution.

The Difference Exavalu Delivered

We decided to implement Salesforce Sales Cloud and Salesforce Automation to simplify their blood drive management process and enhance overall operational efficiency. This helped them in ways more than one. Firstly, they were able to schedule blood drive pipelines several months in advance. Skedulo, a Salesforce AppExchange product, was leveraged to optimize scheduling based on site type, vehicle size, resource mix, and availability. Secondly, they were able to auto-populate drive schedules and allocate tasks using historical data trends, reducing much of their manual effort. The best part, we used MuleSoft to facilitate seamless bi-directional data flow between Salesforce and external systems, ensuring real-time data synchronization. Our core solution was initially deployed in a single region before a rapid, phased rollout across all US regions to ensuring a smooth and seamless transition with minimal disruption.
